This privacy notice explains the data we collect about you and how we use this information.

Who are we?

We are Talking Works Ltd, trading as Talk Works.  We deliver talking therapy services.  We are registered in England and Wales under the company number 8925094.  Our registered address is Gateshead International Business Centre, Mulgrave Terrace, NE8 1AN.  You can contact us on 0191 4909301 or talktous@talk-works.org.uk  

This privacy policy explains the data we collect about you and how we use this information.  

Why do we process your personal data?

We process your personal data to provide healthcare, specifically talking therapies for mental health concerns.  This personal data is called Special Category data – data that needs more protection because it is sensitive. We have what is called a “legitimate interest” in legal terms, for processing your data.   We process your data to allow us to keep safe records, comply with our professional bodies, to enable us to invoice, and to make sure that we are offering you a high-quality service.   

What information will be process?

The type of information we may process includes:  

  • Contact details  
  • Address 
  • Date of birth 
  • Details of your GP 
  • Details of any contact you’ve had with us including appointments 
  • Information in relation to the treatment you are receiving from us 
  • Questionnaires that you complete as part of your treatment with us 
  • Reports that contain clinical information relevant to your referral 

What will we do with that information? 

Talk Works will gather information to enable registration to the service.  

We will not disclose personal data without consent, unless there is a legal or safeguarding issue.  

Information is stored securely in digital format and is held for the term dictated by legislation and our professional bodies.  

We have strict policies and processes in place in relation to information security.   

We may share your information in the following ways: 

  • With your consent, we share clinical information with your employer, if they are funding appointments 
  • We share information on your attendance with your employer, if they are funding appointments 
  • We share information with your clinician so that they can deliver the best service possible to you 
  • We share information with your GP, at times, if there is a clinical reason for this 
  • We share your psychometric questionnaires in anonymised forms for audit purposes.  This also helps us to let your employer know how the colleagues that they refer to us are generally doing, if your employer is funding your therapy.   

Third Parties

Third parties may have access to some of your data whilst they are working with us.  These are called Data Processors.  Please contact us if you would like more information on the third parties that work with us. 

  • Google Analytics: collects standard internet log information from our website, e.g. number of visitors. At no point is the information used to identify anyone.
  • Social media: any private or direct message via social media is stored by Hootsuite for three months.
  • WordPress: collects anonymous information about users’ activity on the site, to monitor and report on the effectiveness of the site and help us improve it.
  • Office 365, Microsoft: which is our preferred provider of cloud storage.  Data is stored in the UK and EU. 
  • Our digital practice management system, which stores data in the UK and EU. 
  • Our digital accounts package and accountant supplier, which stores data in the UK and the EU.

Cookies

This site uses cookies – small text files that are placed on your machine to help the site provide a better user experience. Cookies are used to provide anonymised tracking data to third party application Google Analytics. As a rule, cookies will make your browsing experience better. However, you may prefer to disable cookies on this site. The most effective way to do this is to disable cookies in your browser. We suggest consulting the Help section of your browser.

Your Rights

Under GDPR, you have rights as an individual which you can exercise in relation to the information we hold about you.  These are:

  • Your right to object to processing 
  • Your right to data portability 

You do not have to provide us with your personal data, but we will be unable to work together with you without that data.
